Hi all,
I hope your week is going well. For folks who were unable to attend the
technology committee meeting, here is a summary of the discussion.
-
TRIO Day
- I have made arrangements to have 6 AV kits available for TRIO Day
small-group sessions. I will send a short reminder to those folks shortly
before the event.
- We have secured a vendor (American Audience Audiovisual) for the TRIO
Day ballroom AV. I've provided them with a list of our needs, when we'd
like them to set up and take down the AV, and what hours we will need
on-site support.
- Program registration closed on December 9th as the hotel room block is
full. There are around 50 people on the waitlist as well. We have 9 college
fair registrations (college fair registration is still open).
-
Annual Conference
- Conference planning is coming along. I met with Heather to go over the
registration form and I will be making registration updates for this year's
conference. I hope to have a draft ready for folks to review in time for
the January board meeting or shortly after (I will not be at that meeting,
as it overlaps with my state conference). We are still on track to open
early bird registration on January 22.
- Conference AV arrangements are in progress. The hotel is helping us
with ballroom AV arrangements. I'm working on finding out if we'll have any
guest speakers via Zoom.
- We will need all 8 AV kits at the conference. In addition to using
them for the event, this gives us a chance to review the equipment and make
sure that nothing is lost or broken.
- Sarah suggested we keep a record of when the AV kits are being used so
that we know how old the equipment is and we'll have a record of when
something breaks down. I will start putting together a document in Box
Drive and track down what information I can find since we purchased the
equipment.
-
New NEOA website
- I have not had much time to work on the new website as I have been
working on other event planning. I will pick it up again later in the
winter or in the spring.
- I have most of the static pages (pages with just pictures and text)
mostly done. I still have a handful of updates to make, mostly regarding
this year's events. I am trying to keep both the old and new website up to
date so that the new website will have the latest updates when we're ready
to launch.
- Action item / request for help: I do need some helping figuring out
how to set up some online forms with payment options for membership and
event registration. Assuming we can get those working, we are still on
track to launch the new website on September 1, 2025.
-
Other
- I would like to recruit a technology committee co-chair to serve with
me for the 2025-2026 year. This will make the last part of the transition
smoother, and I can start handing off access to things and provide training
and mentoring, etc.
I am planning on holding the next technology committee meeting in late
January or early February. In the meantime, feel free to reach out if there
is anything I can do for you. I hope you have a nice holiday season.
